Be Prepared: Immediate Actions for Trip Emergencies
When leading a school trip, the safety and well-being of students and staff is the absolute priority.
Whilst we hope you never need it, being prepared for an emergency is non-negotiable. We have developed an Incident Checklist—specifically tailored for our domestic trips—providing you with short, immediate steps to secure the scene, manage your group, and communicate effectively.

Digital Incident Checklist
Universal Immediate Actions
Applies to all types of Critical Incident
- Take immediate steps to safeguard the people involved
- Confirm first aid is provided and emergency services are called if needed
- Confirm no other staff or pupils are at immediate risk
- Establish the initial confirmed facts - what, where, when, who, injuries
- Start an incident log capturing all events, communications, decisions
- Notify school incident management team
- Instruct media blackout, including social media, with reasoning
Coach Breakdown or Accident
In addition to section A.
- If possible, retrieve and use hi-viz vests
- Prioritise medication and emergency contact lists - leave everything else
- Disembark on the nearside where possible
- Move behind safety barriers, up embankments, away from the road
- Stay behind the coach if possible
- Assign staff to escort emergency services to the scene
- Ensure medical information for casualties is conveyed to responders
Missing Person
- Secure the remaining group in a safe, static location with staff supervision
- Perform an immediate formal headcount/register
- Establish initial facts: what time the person was last seen, where, and what they were wearing
- Alert site staff if applicable as they can often assist
- Deploy non-supervising staff to search the immediate vicinity and any agreed rendezvous point
- If not found within 10-15 minutes, call Police (999) and school base
Medical Emergency or Injury
In addition to section A.
- Secure the remaining group away from the scene with staff supervision
- Ensure a qualified first aider is attending to casualties and the area is safe
- Alert site staff if applicable as they can often assist
- Assign a staff member to escort emergency services to the scene
- Ensure medical information for casualties is passed on to responders
- Work with school base on ensuring that next of kin are made aware of incident. Emergency services usually notify of fatalities.
Severe Weather or Coastal Stranding
- Assess the potential for escalation - could the situation realistically worsen? e.g. rising tide, worsening storm?
- With this in mind, decide whether appropriate to move to higher accessible ground
- Call the Coastguard (999) if stranded in a coastal environment
- Assess and consider the relative benefits of curtailing the trip once the danger has passed
Stranded Group
e.g. Significant transport delays
- Move to a safe, warm space (e.g. ferry terminal building, café)
- Contact transport provider to establish facts
- Liaise with Education Destination (01983 216220) for advice
- Notify the school incident management team for onward communication
- Address the group's welfare needs with respect to water, food, toileting
- Monitor and manage behaviour and morale
Security Threat
- Immediately move the group away from the threat
- If evacuation is not safe, follow RUN - HIDE - TELL principles - secure the group in a lockable location and maintain silence
- Call police (999) immediately and request assistance
- Instruct staff to interpose with students and aggressive members of the public but do not physically confront an armed threat
- Once the immediate danger has passed, inform the school base
- Monitor and manage behaviour and morale
Fire or Emergency Evacuation
- Follow emergency evacuation procedure as per venue
- Follow instructions given by site staff
- Leave heavy belongings and bags behind
- Escort group to designated assembly or muster point, or, if not obvious, a safe distance or place
- Conduct a formal immediate headcount / register
- Do not permit re-entry until cleared to do so by qualified persons
Safeguarding Disclosure
- Take immediate steps to safeguard the individual(s) involved
- Listen to reports carefully without asking leading questions or promising confidentiality
- Contact the trip or the school's DSL immediately for guidance
- Do not discuss the disclosure with other staff members unless instructed to so do by the DSL
- Record the exact words used by the individual(s), the time and setting
Data Protection Breach
- Conduct an immediate, systematic search of the last known locations (e.g. coach, last venue visited)
- Notify the school base so they can inform the Data Protection Officer and assess the risk
- Ask school to securely transmit essential medical or other necessary data to enable the trip to continue safely
- Ensure any remaining physical or digital documents are secured
Tour Operator Failure
Education Destination Ltd. are members of ABTOT - The Association of Bonded Travel Organisers - which provides refunds and repatriation for our customers in the event of our insolvency.
ABTOT provides financial protection under the Package Travel and Linked Travel Arrangements regulations 2018 for Education Destination Ltd., member number 5669, and in the event of their insolvency, protection is provided for non-flight packages.
BEFORE THE TRIP COMMENCES
ABTOT cover provides for a refund in the event you have not yet travelled.
AFTER THE TRIP HAS COMMENCED
All of the key suppliers making up your itinerary require payment in advance - accommodation, coach operators, caterers and the majority of paid attractions. Therefore, your trip should be unaffected.
However, if transport was included in your package, ABTOT also provides for repatriation in the event of our insolvency.

In the unlikely event that you do need assistance in the event of our financial failure, please call the ABTOT 24/7 hotline on 01702 811397 and advise that you are a member of an ABTOT protected travel company. Note that this helpline cannot assist with other types of enquiry which should be directed to Education Destination on 01983 216220.
